MOLA Vancouver 2020

After much consideration and discussion of alternate plans, the Board has decided to cancel the 2020 conference scheduled to be hosted by our friends at the Vancouver Symphony Orchestra. We have already started work on how to offer as much of the planned conference programming to you as possible - this may take a variety of forms from live webinars to recordings to written content. To those of you slated to present, MOLA Administrator Amy Tackitt will be in touch shortly to coordinate; and to the MOLA membership, we are excited to offer access to session content to all of you - stay tuned for details! 

In the meantime - a few action items: 
  • For those who have registered and/or paid to attend the conference, MOLA Administrator Amy Tackitt will be in touch with you directly to process your refund in full.
  • For those of you who made reservations to stay at the conference hotel, please be in touch with the hotel to cancel your reservation. There should be no charge to do so as they are aware of our event cancellation but if you have any trouble doing so, please reach out to MOLA Administrator, Amy Tackitt.
  • For those who have received a first-time attendee award to attend the Vancouver conference, MOLA Member-at-Large, Michael Ferraguto will be in touch directly to communicate about your award.
  • Per MOLA bylaws, there are items that require voting by the membership at the annual business meeting that normally occurs during the conference including new Board members, new MOLA members, and emeritus members. We have a plan to allow each organization to vote and to share MOLA-related documents with the membership (e.g. committee and Board reports) so again, stay tuned to your email and the forum for details!
We sincerely thank the Vancouver Symphony Orchestra - especially librarians Minella Lacson and Alex Clark for their commitment and work to plan for and host the 2020 conference and hope we’ll have an opportunity for them to showcase their wonderful home in the future. Financial Assistance (Members Only)

TRAVEL ASSISTANCE
Deadline: March 9, 2020 - Notifications by March 16, 2020

Travel Assistance is intended to assist member librarians with basic economy transportation costs only (not additional add-ons), as well as up to 2 nights of hotel costs (in the conference designated hotel) as outlined in the application - not with food, fees, or miscellaneous expenses. The "Travel Assistance" section of the MOLA Policies states:

"The MOLA Board of Directors, in consultation with the Finance Committee, may from time to time designate funds to be used to subsidize MOLA-related personal travel expenses of MOLA member Librarians. Individuals may apply in writing at any time for such subsidizations. Funds, if available, will be distributed in the order applications are received, unless, in the opinion of the Board, extenuating circumstances warrant otherwise. As guidelines in the decision-making process, the Board shall consider such factors as the applicant's personal or professional circumstances, degree of hardship, and level of scheduled Conference participation. Except in unusual circumstances, no applicant shall be granted funding in two consecutive years."

Receipts must be submitted for reimbursement within 45 days of purchase to allow MOLA to act in accordance with IRS rules. Any receipts received after this timeframe may not be reimbursed.

FIRST-TIME ATTENDEE AWARD
The purpose of the first-time conference attendee scholarship is to encourage conference participation by MOLA members who have never attended a MOLA conference. Recipients will be awarded an amount to cover the conference registration fee for the 2020 Vancouver conference.

Recipients will be required to participate in the Conference Mentoring Program and to write: a brief summary of a conference session or an article about their experience attending the conference and participating in the Mentoring program (for potential publication in Marcato, in collaboration with the Marcato Editor-in-Chief), to be used on the website, and for future programmatic promotion or fundraising opportunities.
Applications will be reviewed and, if granted, funds will be awarded on a first-come, first-served basis until the allotted funds are exhausted. Applicants will be notified as soon as possible by the MOLA Administrator as awards are granted—please refrain from making conference registration payment until you have been notified of the outcome of your application review. Applications will be reviewed by the Membership Committee and submitted to the Board for final approval.

GROUND TRANSPORTATION
  • Uber and Lyft do not currently operate in Vancouver but may by the conference in June.
  • The Skytrain is a simple way to get from the Vancouver airport (YVR) very close to the conference hotel. You can purchase passes at train stations and at the airport or pay on the train if you have a tap credit card.

CO2 OFFSET CHALLENGE
Please consider accepting the MOLA Board President's CO2 offset challenge to compensate for the emissions caused by MOLA conference air travel. If you are a US citizen and have Global Entry, your passport has a chip in it and you are issued a credit card sized Global Entry card. When leaving Vancouver, you will need to have the physical card in your possession for an easier pass through security check.  our passport is not good for that - the passport is only good for expediting getting through passport control.
